Emerald Rentals takes your privacy seriously. This policy explains what data we collect, why, and what your rights are. If anything here is unclear, please get in touch. We'd rather answer a question than have you wonder.

Emerald Rentals is the trading name of Emerald Rentals Ireland Limited, registered in Ireland with company number 791720. Where this policy says we are the data controller, that means Emerald Rentals Ireland Limited. You can reach us at hello@emeraldrentals.ie.

How bookings work today

Emeraldrentals.ie does not currently take direct bookings or payments. Rentals are placed through our partner platforms, Cloud of Goods and Motion4Rent, who handle the booking, payment, and customer communications. When you book through one of those partners, your data is collected and processed by them under their privacy policies; we receive only the operational details we need to deliver your equipment (your name, contact details, hotel address, dates, and the equipment ordered).

If you contact us directly via the website (enquiry form, contact email, WhatsApp), Emerald Rentals is the data controller for that interaction and the rest of this policy applies.

1. Information We Collect

When you contact Emerald Rentals directly through this website (enquiry form, contact form, WhatsApp), we collect:

  • •Contact details: your name, email address, and phone number, only if you provide them
  • •Trip context: hotel, accommodation or collection point, dates of your stay
  • •Enquiry details: equipment you're asking about, rental dates, any special requirements you mention
  • •Origin signals: your phone country code or browser language helps us tailor the response (we do not collect this directly)

We do not handle card or payment data on this website. Partner-platform bookings are paid via Cloud of Goods or Motion4Rent on their own checkout flows.

2. How We Use Your Information

We use your personal data to:

  • •Fulfil rentals routed to us via our partner platforms (delivery, collection, support)
  • •Respond to direct enquiries and operational messages (delivery updates, post-rental check-in)
  • •Provide customer support and answer questions about equipment, accessibility, and logistics
  • •Improve our services and website (with your consent for analytics, see Section 4)
  • •Comply with legal obligations (e.g. accounting records, lawful requests)

We will never sell your personal data to third parties or use it for unsolicited marketing without your explicit consent.

3. Data Sharing

We share your data only when needed:

  • •Partner platforms: Cloud of Goods and Motion4Rent (when your booking originates with them), who are independent data controllers under their own privacy policies
  • •Email service provider: for sending operational messages such as delivery confirmations or follow-ups
  • •Google Analytics (Google Ireland Ltd): only if you've granted analytics consent (see Section 4)

All third-party providers we use are bound by data processing agreements and process your data only for the purposes specified.

4. Cookies & Analytics

Two types of cookies / similar technologies are used on this site:

  • •Strictly necessary: small bits of data needed for the cart, session, security, and to remember your cookie preferences. These are always on under GDPR's "strictly necessary" exemption.
  • •Analytics (Google Analytics 4): we use Google Analytics to understand how visitors find and use the site so we can improve it. GA loads in Google's Consent Mode v2 with all consent flags denied by default, meaning no analytics or advertising cookies are written until you actively click "Accept all" (or enable analytics in the customise panel) on the cookie banner.

We do not run advertising tags, retargeting pixels, or cross-site trackers. We do not share analytics data with advertising networks.

You can change your cookie choice at any time via the "Cookie preferences" link in the page footer.

5. Data Retention

We retain operational rental data (delivery details, trip context) for up to 3 years after your last rental for accounting, legal, and customer-support purposes. Enquiry data is retained for up to 1 year. Cookie consent choices are stored locally in your browser for up to 13 months. You can request earlier deletion at any time (see your rights below).

6. Your Rights (GDPR)

Under the General Data Protection Regulation (GDPR), you have the right to:

  • •Access: Request a copy of the personal data we hold about you
  • •Rectification: Request correction of inaccurate data
  • •Erasure: Request deletion of your personal data
  • •Portability: Request your data in a portable format
  • •Objection: Object to processing of your data for certain purposes
  • •Withdraw consent: Withdraw any consent you've given (such as analytics) at any time

To exercise any of these rights, email us at hello@emeraldrentals.ie with the subject line "Data Request". We will respond within 30 days. You also have the right to lodge a complaint with the Irish Data Protection Commission at dataprotection.ie.
